We have a variety of different icons and wording in the system. This article details many of what you will find in the system, and can help as quick reference when needed. (This article is aimed towards the more common icons and terms that someone may have a question about. If you have a question about something not listed here, you're always welcome to reach out to us directly with your question.)
Starting with the icons at the top right of the MoveitPro system, you'll see each of these, depending on your system settings, and they're outlined below.
Speech Bubble: Live Chat Feature - Shows at a glance, how many agents are online and able to receive chats (Not turned on by default - Free Feature)
Bell: Non-Urgent Notifications - Covers information that you would need to know, but might not need to immediately stop what you're currently doing to handle.
Envelope: SMS Notifications - When a client responds to you via text message, it'll appear here. (Addon Feature)
Exclamation Point: Urgent Notifications - Things that you definitely need to be aware of, and handle as soon as possible. This covers mostly estimate related things, but also handles assigned tasks. (Flashes when at least 1 Urgent Notification is pending review)
Next, we'll review the icons at the top left of MoveitPro.
Truck: Daily Dispatch/Daily Schedule Page - This'll take you to the current's scheduling page, so you can take a look at what the schedule is for the day, manage your assigned trucks & crew, and track your crew on the Google Map Integration (requires Live Tracking turned on for your system. Not on by default - Free Feature)
Calendar: Booked Jobs Calendar - Takes you to the current month's booked jobs calendar, where you can check on the month as a whole, and see an outline of what is scheduled each day. You can also click on any date, and it'll take you to that day's dispatch page.
Notepad With Checkmark: Tasks - This button allows you to assign tasks to yourself, or other users in your system. (When a task is created, and the due date approaches, it'll appear as an Urgent Notification for the employee that was assigned to take care of the task.)
Newspaper: New Event - This button allows you to record interactions with your leads/clients without needing to leave the current page that you're on.
Person With "+" on Right Shoulder: New Prospect - This button is for when you need to add new person to your system as prospect/client. On the corresponding pop-up you have the ability to simply record them in your system, or immediately begin the estimating process.
Search Bar With Magnifying Glass: Search Bar - This allows you search for clients in your system. (They do need to have a customer profile in your system to appear) You can locate prospects/clients using the following: Name, Phone Number, Email Address, Physical Address (Pickup/Dropoff locations), Estimate Number, and Invoice Number.
If you're unable to locate the person using the automatic search, clicking the Magnifying Glass to will conduct a manual search of the system, using the information that you typed in.
Here, we'll review the difference between Leads & Follow Ups in the MoveitPro system.
Leads: These will be any estimate that is not saved at 100% in the system. These can be anyone from brand new into your system, to someone that you got to Step 6 with, but for whatever reason, their estimate is open to be adjusted as needed. (When an estimate is left open, thus remaining a Lead, it can be adjusted by both the company and the potential customer/client.)
Follow Ups: These are estimates that are saved at 100% in the estimate process, but haven't booked with you yet. (You can still reopen a Follow Up to make changes to the estimate as needed. However it will revert back to being classified as a Lead, unless saved, again, after the changes are made.)
Under the Schedules tab on the left-hand navigation bar (right-hand if using RTL option) you'll see four (4) different calendars. Each is detailed below.
Booked Jobs - As mentioned with the Calendar icon above, this is where you can get a monthly view of which days have currently booked jobs, which days are currently unscheduled, as well as, any days that are currently marked as "Do Not Book".
Pending Jobs - This calendar is the other side of the Booked Jobs calendar coin. This is where you're able to review which days people have expressed interest in moving on, but they haven't committed yet. This page will list both how many jobs are booked, and how many pending jobs there are. This can be useful when attempting to schedule more to your company's calendar. (Note that the pending jobs listed will only be those estimates classified as a Follow Up.)
Office - This is where all tasks, including Surveys, are tracked. Much like the two (2) calendars above, each day that has a task assigned to it will have the relevant information shown on that day.
Employee Time Off - This calendar tracks any day that an employee requested time off, and provides the ability to approve/deny any pending requests. Employees can do this by logging into the web browser version of the software -> clicking their username at the top right, and then accessing My Account.
Under the Clients section on the left-hand navigation bar, you'll see two (2) subsections -- both are detailed below.
Prospects - This is where all people that have a received an estimate from you, but haven't booked yet, are located. This list contains both partial estimates, and those saved at 100%. If you click on Prospects, you'll see the options for Active, In-Active, or both.
Active Prospects are people whose move dates have yet to pass, and that you're actively working on their estimate/following up with them to get them booked.
In-Active Prospects are people whose move dates are passed (at least 2 weeks have passed past the date) or you have marked them as Not Interested in the system.
Customers - This section is where those who have booked a job with your company in the MoveitPro system are going to be located. Just like with Prospects, there'll be an option to look at the Actives, In-Actives, or both.
Active Customers - People who have a move scheduled with you, and their invoice hasn't been closed out in the system yet.
In-Active Customers - These are past jobs in your system. You've closed out the final invoice, or you've marked their move/job as cancelled in the system.
